CONTRACT RATE

$24.89 per hour; increasing to $25.89 per hour on 4/1/24.

Join our team at Chelan County Public Utility District. As one of the largest hydroelectric generating utilities in the Northwest, our mission at Chelan PUD is to improve the quality of life for the thousands of people who call our pristine desert and mountain community home.

Overview
Provides administrative support to staff in the Natural Resources and Hydro Licensing Division. This includes procurement of departmental materials and supplies, processing purchase orders and invoices, monitoring and tracking service agreements, drafting correspondence, document preparation, scheduling appointments and working with internal and external customers to provide information in an efficient, professional and timely manner. In addition, the incumbent provides support to the Parks department when needed. The position acts as the primary records and information coordinator for the Natural Resources Division.

Responsibilities

  • Perform day to day administrative duties using a variety of office software and systems to create correspondence, agendas, reports, meeting minutes, and presentation materials, including formatting, proofing and editing. Schedule meetings, update calendars, make travel arrangements, prepare travel authorizations and expense reports, and perform monthly procurement card reconciliation for department staff. Maintain internal/external department website and coordinate content. Provide security badging and hydro access support to department staff. Follow documented and standardized administrative processes and procedures.
  • Create purchase orders and requisitions for materials and services, provide assistance with initiation of service agreements and process invoices. Assist staff with monitoring and tracking of contract spending.
  • Acts as the primary records and information coordinator for the Natural Resources Division. Administers and coordinates information data collection, ordering and filing, dissemination and maintenance in both electronic and paper forms as appropriate. Monitors compliance with records storage and retention policies and Federal and State regulations, including timely destruction of records.
  • Provides occasional support to the Parks department, including support for camping reservations, answering phone calls, and collecting customer information. May provide assistance with other administrative duties when needed.
  • Support time entry for department staff. Monitor time entry for absent staff members. Print payroll report and verify that time is entered accurately and timely.
  • Maintain regular and predictable attendance: Perform related duties and responsibilities as required. Comply with District policies. Complete all required training. Maintain a working knowledge and comply with District safety procedures and specific safety requirements of this position, and those in accordance with applicable provisions of the Revised Code of Washington (RCW) and Washington Administrative Code (WAC).
  • As a secondary function, drive a motorized vehicle while conducting business on behalf of the District.

Qualifications

Education
Equivalent experience (year for year) may substitute for required education.

  • 1 year Post-secondary Education from a college or technical school with an emphasis on office administration preferred.

Experience

  • 2+ years Administrative support experience in an office environment required.

  • To perform this job successfully, an individual is required to have knowledge of Microsoft Word, Microsoft Excel, Microsoft Outlook, Adobe Acrobat Pro. Ability to learn order-processing systems; Maximo, FileNet, SharePoint, and PeopleSoft applications.
  • Must be proficient in reading, writing and speaking English.
