CONTRACT RATE

In addition to the Contract Rate of $20.15 - $25.27 (which may be determined by previous employment) Chelan PUD employees also enjoy outstanding benefits which include the option of a zero cost medical plan (medical, dental and vision for all eligible dependents), holidays and personal leave accrual. 

JOB DURATION

This is a full-time, limited assignment position expected to last more than 6 months but less than 2 years.

JOB POSTING

JOB PURPOSE:                        
Serves as the main receptionist, first point of contact for Chelan County PUD.  Operates the telephone system, greets callers and walk-ins, answers inquiries and provides information and assistance to the general public, customers, vendors and visitors.  Assists with pool car tracking and other project related support.  Available for outages and emergencies as determined by the Office Services (OS) Department Manager.

#  EF/SF % of Time Job Functions
1. EF  70% Operates telephone switchboard and is responsible for answering large volume of incoming calls, transfers, outages, and paging.  Assists customers and employees with questions, provides information and creates customer sign-ins.  Monitors customer behavior and contacts Security as needed.  Updates switchboard directories, records and reports switchboard malfunctions, updates and trains staff on all duties.  Be available as emergency personnel when needed.

2. EF  25% Update and maintain pool car check out records including SharePoint updates, work orders, checking out vehicles, fuel card receipts, acknowledgements and other duties as assigned.  

3. SF  5% Receive and sign for small courier packages and bid documents.  Log, track, and call department(s) to expedite packages/letters quickly.   Cross training in the mailroom as scheduled by OS Manager.

4. EF  Ongoing Maintain regular and predictable attendance.  Perform related duties and responsibilities as required.  Comply with District policies.  Complete all required training.  Maintain a working knowledge and comply with District safety procedures and specific safety requirements of this position, and those in accordance with applicable provisions of the Revised Code of Washington (RCW) and Washington Administrative Code (WAC).

Post-Secondary Education:                        
No post-secondary education required.

Experience:                        
Requires one (1) year experience as a main receptionist, switchboard operator, call center/customer service representative, or other comparable role.  Work experience should include all of the following: operating a multi-line telephone system; providing information or resources to a diverse group of customers, face to face and on the phone; and providing excellent customer service skills.

Also requires CPR Certification and valid First Aid card 90 days of hire.

Requires ability to type at 40 wpm, net of errors, and proficiency with Word demonstrated by a clerical aptitude test with a pass rate of 50%

• Requires ability to use e-mail
• Ability to work with diverse customers and employees
• Ability to learn and operate the District’s switchboard and handle customers and projects concurrently.  Must be able to work independently
• Must be able to train new staff on operator duties and customer service. 
• Ability to learn Pool Car checkout system,
• Ability to assist Security by identifying possible volatile situations and assist with badging visitors. 
• Must be able to maintain confidentiality and be available for outage calls and be identified as emergency personnel as directed by the Office Services Department Manager. 

Language Skills:                        
Must be proficient in reading, writing and speaking English.  Bilingual fluency in English and Spanish is preferred.

Computers & Equipment: A fully skilled incumbent will have the ability to utilize the following software, hardware, or equipment:

To perform this job successfully, an individual is required to have knowledge of PeopleSoft Time Entry/HRIS; Microsoft Outlook; Microsoft Excel; Microsoft Word; and Maximo Order Processing.  Advance skills required with Switchboard Consoles.
